Terms and Conditions

These Terms and Conditions ("Terms") govern all bookings made directly through this website with Eclipse Retreats O.E. ("Eclipse Retreats", "we", "us", "our"). By making a booking, you ("the Guest") agree to be bound by these Terms.

1. Who we are

Eclipse Retreats O.E. is a general partnership (Ομόρρυθμη Εταιρεία) registered in Greece.

2. The booking contract

A binding contract is formed only when:

(a) you complete the booking process on this website, (b) we receive cleared payment of the required deposit or full amount, and (c) we send you a written booking confirmation by email.

Until all three conditions are met, no contract exists, and we reserve the right to decline any booking at our discretion.

The Guest making the booking must be at least 18 years old and is responsible for all members of the booking party.

3. Prices and payment

3.1 Pricing

All prices are quoted in Euros (€) and include applicable VAT where required by Greek law. Prices are per stay (not per person) unless otherwise stated and cover the property only — not flights, transfers, food, or any other service unless explicitly listed in the booking.

3.2 Payment schedule

  • Bookings made more than 60 days before arrival: 50% of the total amount is due at the time of booking. The remaining 50% is due 60 days before the arrival date.
  • Bookings made within 60 days of arrival: 100% of the total amount is due at the time of booking.
  • If the remaining balance is not received by the due date, we reserve the right to cancel the booking and retain the initial 50% as per Section 4.

3.3 Payment method

Payments are processed by Stripe Payments Europe Ltd. We do not store full card numbers on our systems. By submitting payment, you agree to Stripe's terms.

3.4 Security deposit

A refundable security deposit of the amount stated at the time of booking is required for every stay. The deposit will be:

  • pre-authorised on your card 7 days before arrival, or
  • charged in full and refunded after departure, depending on the property.

The deposit is returned within 14 days of departure, less any deductions for:

  • damage to the property, furniture, fixtures, or contents beyond ordinary wear and tear,
  • missing items,
  • excessive cleaning required (including but not limited to smoking inside the property),
  • breaches of the house rules (Section 7),
  • noise, nuisance, or unauthorised events,
  • fines imposed on Eclipse Retreats by authorities, neighbours' associations, or third parties as a result of the Guest's conduct.

We will provide an itemised breakdown of any deductions, with photographs and receipts where applicable.

4. Cancellations and changes

4.1 Cancellation by the Guest

Our cancellation policy is strict:

  • More than 30 days before arrival: 50% of the total booking amount is refunded.
  • 30 days or less before arrival: No refund. The full booking amount is retained.
  • No-shows and early departures: No refund.

Cancellations must be sent in writing to [email protected]. The effective cancellation date is the date we receive the written request.

We strongly recommend that all Guests purchase travel insurance covering cancellation, curtailment, and personal liability.

4.2 Date changes

One date change request per booking may be considered, subject to availability, at our discretion, and provided the request is made more than 30 days before the original arrival date. Any difference in price between the original and new dates is payable by the Guest. Date changes are not refunds and do not extend cancellation rights.

4.3 Cancellation by us

In rare circumstances we may need to cancel a booking — for example, due to property damage, force majeure, or events outside our reasonable control. In such cases we will:

(a) offer you alternative dates or, where possible, an alternative property of equivalent standard, or (b) issue a full refund of all amounts paid.

Our liability in the event of a cancellation by us is limited to a refund of monies paid. We are not liable for consequential losses including flights, transfers, or other travel arrangements.

5. Force majeure

We are not liable for any failure to perform our obligations where such failure results from circumstances beyond our reasonable control, including but not limited to: natural disasters, fire, flood, earthquake, severe weather, pandemic, epidemic, government restrictions, civil unrest, strikes, war, terrorism, or interruption of utilities (water, electricity, internet) caused by third-party providers.

In such cases, we will offer a credit note or rescheduling where reasonably possible, but no cash refund will be issued beyond what is recoverable from our suppliers or insurers.

6. Check-in and check-out

  • Check-in: from 16:00 on the day of arrival
  • Check-out: by 11:00 on the day of departure

Early check-in and late check-out are subject to availability and may incur an additional fee. Unauthorised late check-out may result in a charge equivalent to one additional night.

Check-in details, key collection instructions, and property access information will be sent 7 days before arrival, subject to receipt of full payment and a completed guest registration form as required by Greek law.

7. House rules

By making a booking, the Guest and all members of the booking party agree to:

(a) use the property only as a private residence for the agreed number of guests, (b) not exceed the maximum occupancy stated on the booking confirmation, (c) not host parties, weddings, photoshoots, filming, or commercial events without our prior written consent, (d) observe quiet hours between 15:30 - 17:30 and 23:00 - 07:00 in accordance with local regulations, (e) not smoke inside the property (smoking is permitted only in designated outdoor areas), (f) supervise children and non-swimmers around the pool at all times — pools are unsupervised and used at the Guest's own risk, (g) keep pets only if explicitly approved at the time of booking, (h) treat the property, neighbours, and local community with respect, (i) comply with all applicable Greek laws and local regulations.

Breach of these rules may result in immediate termination of the booking without refund and forfeiture of the security deposit, in addition to any further damages or fines.

8. Liability and use of the property

The property and all amenities (including swimming pool, outdoor areas, gym equipment, kitchen appliances, and any optional extras) are used entirely at the Guest's own risk. Eclipse Retreats accepts no liability for:

  • personal injury, illness, or death sustained on the property, except where directly caused by our proven negligence,
  • loss, theft, or damage to personal belongings,
  • interruptions to utilities, internet, or services caused by third parties,
  • inconvenience caused by neighbouring construction, weather, or events outside our control.

The Guest is liable for any damage caused to the property or its contents during the stay, whether by themselves, their party, or invited visitors.

Nothing in these Terms limits liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under Greek or EU law.

9. Guest registration

Greek law (Presidential Decree 7/2018, AADE rules, and applicable tourism regulations) requires all overnight guests in short-term rentals to be registered. The Guest agrees to provide accurate passport or national ID details for every member of the booking party prior to arrival. Failure to do so may result in refusal of check-in without refund.

10. Complaints

Any issue arising during the stay must be reported to us immediately in writing at [email protected] or by phone at +30 694 301 0268 so that we have a reasonable opportunity to investigate and resolve the matter while you are still on the property. We are unable to consider complaints raised for the first time after departure.

11. Data protection

We process your personal data in accordance with our Privacy Policy, which forms part of these Terms.

12. Governing law and jurisdiction

These Terms are governed by Greek law. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Rhodes, Greece.

EU consumers may also use the European Commission's Online Dispute Resolution platform at https://ec.europa.eu/consumers/odr.

13. Changes to these Terms

We may update these Terms from time to time. The version in force at the time of booking is the version that applies to that booking. Material changes will be communicated to active bookings by email.
